PO Assistant

PO Assistant is a new feature that I designed for Dell Technologies, serving as an integral part of the Purchase Order Management (POM) system.


Let me provide some background information on how the feature works:

Initially, an agent creates a quote and sends it to the customer. In response, the customer sends a Purchase Order to confirm the order. This Purchase Order is then forwarded to the POM for processing. Each Purchase Order is assigned a unique POM ID, which is also assigned to the Order Processing agent responsible for handling it. The task of the Order Processor is to match and validate the Purchase Order by comparing it with the original Quote. If the Quote and Purchase Order match, the Order Processor proceeds to create the order.


Currently, the Order Processor relies on a third-party application called ABBYY to extract information from the Purchase Order and manually compares it with the Quote created by the sales representative. In this process of order creation, the Order Processor has to use multiple applications in addition to ABBYY. However, with the introduction of the PO Assistant, this process becomes much more streamlined and efficient.


The PO Assistant provides all the relevant information required for order creation at one place, eliminating the need for switching between applications. PO Assistant also compares the information automatically with the Quote and validate the Purchase Order, eliminating the need for manual comparison.

By removing these obstacle, the PO Assistant helps agents save time and effort in creating orders.


Ultimately, the PO Assistant aims to simplify the order creation process and enhance the productivity of the Order Processing team.

Objective

We wanted to simplify the order creation process for the OP agents. We wanted to remove any and every possible obstacle that makes their work challenging so that they spend less time and effort in order creation.​
